Terms and Conditions

Last updated: 22 September 2026

1. About STTF

Sikkim Travel and Tourism Fair 2026 ("STTF", "the event", "we", "us" or "our") is organised byPanda Events Management, with Monk and Mountains Tours & Travels as Co-Organiser, and supported by Tourism & Civil Aviation Department, Government of Sikkim.

Event dates: 21–22 November 2026
Venue: Ridge Park, Gangtok, Sikkim

These Terms govern website use and applications for buyer participation, exhibition stalls, sponsorships and familiarisation trips ("FAM trips").

Government support does not make the supporting department a party to participant bookings or a guarantor of services.

2. Acceptance and booking documents

Please read these Terms before submitting an application or making a booking. Registration and booking forms will ask you to accept the terms relevant to your participation.

Written quotations, booking confirmations and participation agreements may contain additional conditions. These must be provided before acceptance or payment. If a specific booking condition conflicts with these general Terms, the agreed booking condition takes precedence, subject to applicable law.

No registration or payment constitutes consent to unrelated marketing or personal-data sharing.

3. Registration and eligibility

Applicants must provide accurate, complete and current information and be authorised to represent the business named in their application.

Online trade registrations are intended for people aged 18 or above. Any student or minor participation programme will have separate arrangements.

Submitting a form does not automatically confirm admission, buyer selection, stall allocation, sponsorship or FAM trip participation. Confirmation will be communicated by the organising team.

Applications may be declined for failure to meet stated eligibility requirements, lack of availability, false information or relevant safety concerns. Any payment already collected will be handled under the applicable booking terms and law.

4. Buyer participation and hosting

Buyer selection depends on eligibility, business relevance, availability and any requirements communicated during the application process.

Accommodation, meals, transfers, travel reimbursement and FAM trips are included only where expressly confirmed in writing. The term "hosted buyer" does not, by itself, mean that every expense is covered.

Selected buyers must follow the attendance and meeting commitments stated in their participation agreement. Any charges for cancellation, non-attendance or failure to meet those commitments must be disclosed and accepted in advance.

STTF facilitates business introductions but does not guarantee a particular number of meetings, sales, contracts or commercial results.

5. Exhibitor and stall bookings

Stall bookings are confirmed after written acceptance and completion of the agreed payment requirements.

Stall size, location, facilities, inclusions, setup timings and permitted activities will be stated in the booking documents or exhibitor instructions.

Exhibitors must:

  • Display lawful products and accurate promotional information.
  • Obtain permissions required for their own displays, sales or activities.
  • Follow venue, electrical, fire-safety and event instructions.
  • Keep their allotted space safe and avoid obstructing neighbouring stalls or public areas.
  • Obtain written approval before transferring, sharing or subletting their space.

Exhibitors are responsible for damage caused by their personnel, contractors or installations, to the extent attributable to them.

If a confirmed stall must be materially changed, we will notify the exhibitor and discuss an appropriate alternative or remedy under the booking terms and applicable law.

6. Fees and payments

All fees, applicable taxes, inclusions, payment deadlines and payment instructions will be stated in the relevant quotation or booking offer.

Pay only through payment channels confirmed by the organising team. If instructions appear suspicious or have changed unexpectedly, verify them using the contact details below.

Payment alone does not confirm a booking without written acceptance. If payment is received but a booking cannot be accepted, we will arrange its return and communicate the expected processing time.

Additional services or upgrades require agreement on the charges before they are supplied.

7. Cancellations and refunds

Cancellation, substitution, no-show and refund conditions vary by participation category and will be provided before payment.

Cancellation requests must be submitted to [email protected], identifying the applicant, company and booking reference where available.

Any cancellation deduction must follow the terms accepted for that booking and applicable law. These general Terms do not impose a blanket non-refundable policy.

Where a refund is due, we will confirm the amount, any applicable deductions, the payment method and the expected processing time.

8. FAM trip participation

FAM trips require separate selection or booking confirmation. Routes, dates, accommodation, transport, meals, fees, inclusions and exclusions will be provided in the relevant programme.

Participants are responsible for supplying accurate details and obtaining or providing the documents needed for permits and travel. Permit approval and access to restricted destinations remain subject to the relevant authorities.

Itineraries may be affected by weather, road conditions, permit restrictions or safety requirements. We will communicate significant changes and explain available alternatives and any financial implications. Optional additional charges require your agreement.

Participants must follow reasonable safety instructions and consider whether the itinerary, including any high-altitude travel, suits their health and circumstances. Appropriate travel and medical insurance is recommended.

9. Event changes and circumstances beyond control

Programme timings, speakers, activities or layouts may change for operational or safety reasons.

If circumstances beyond reasonable control—such as severe weather, natural disasters, government restrictions or transport disruption—materially affect the event, we will notify affected participants as soon as reasonably practicable.

For cancellation, postponement or substantial changes, we will explain the options available under the booking agreement and applicable law, including rescheduling, alternatives or refunds where due. Such circumstances do not automatically remove refund rights or allow all payments to be retained.

Costs of independently booked travel or accommodation are governed by the participant's agreement with those providers, without limiting any remedy available against us under applicable law.

10. Conduct and admission

Participants must behave professionally and follow reasonable venue and safety instructions.

Harassment, discrimination, threats, fraud, illegal activity and serious disruption are prohibited. The organising team may refuse entry or remove a person where reasonably necessary to protect participants or the event.

Any consequences for a paid booking will be assessed against the circumstances, agreed terms and applicable law.

Badges and passes may not be transferred without approval. Participants are responsible for looking after their belongings.

11. Independent business dealings

Unless expressly stated otherwise in a written agreement, transactions between buyers, exhibitors, hotels, transport providers and other participants are made directly between those parties.

Participation in STTF does not constitute an endorsement or guarantee of another participant's services. Participants should independently verify commercial claims and terms before entering an agreement.

This does not exclude responsibility for services that the organisers themselves agree to provide.

12. Website content and branding

STTF website content, branding and materials belong to their respective owners. You may use publicly available information for personal reference and share links to the website.

You must obtain permission before using event or organiser logos in a way that suggests sponsorship, endorsement or an official partnership.

Participants supplying logos or promotional material confirm they have permission to do so. We may use those materials for the agreed event listing or promotion.

Website misuse, unauthorised access attempts and uploading unlawful or harmful content are prohibited.

13. Photography and recordings

Where official photography or filming is planned, we will provide appropriate notices and information about its intended use.

Please inform the organising team if you have concerns about being photographed or recorded. We will explain available arrangements and seek separate permission where required for a particular use.

Attendance alone is not treated as unlimited permission to use someone's image for unrelated advertising. Participants must respect others' privacy when taking or publishing photographs.

14. Privacy

Personal information is handled as described in our Privacy Policy.

Participation does not automatically authorise the publication of personal contact details or their disclosure to sponsors for independent marketing.

15. Responsibility and liability

Each party is responsible for its own obligations under the agreed booking terms and applicable law.

We do not guarantee commercial outcomes or uninterrupted website availability. However, these Terms do not exclude liability for fraud, wilful misconduct, negligence where liability cannot lawfully be excluded, or any other responsibility that cannot be limited by law.

Nothing in these Terms removes mandatory consumer rights or other statutory remedies where applicable.

16. Complaints and disputes

Please raise booking or event concerns with the organising team, including relevant records so that we can investigate and respond.

These Terms are governed by the laws of India. Disputes may be brought before courts or other authorities having lawful jurisdiction. Nothing here restricts access to a competent consumer forum or other statutory remedy where available.

17. Updates to these Terms

Updated Terms will be published on this page with a revised date.

Changes will apply to future applications and bookings. Material changes to an existing confirmed booking require agreement where necessary and cannot retrospectively remove accrued rights.
